Questions owners ask before hiring us
Straight answers on cost, what your callers hear, where your data lives and what happens when the AI changes. Short version: we rebuild your setup into one system, then swap the AI inside it as better models ship.
Cost and contracts
How much does AI automation cost for a small business?
With AI360 Network it's a one-time install plus a flat monthly rate, starting at $1,500 and $297 a month. That starting tier is Spark, built for solo operators. Ignite is $3,500 plus $897 a month for teams of 1 to 10 and adds the AI voice agent. Full Circle is $8,000 plus $1,697 a month for the complete system, with your website, document chasing, e-signature and a morning owner brief. Scale is $18,000 plus $2,499 a month and adds a cinematic website, SEO, AI-search answer pages and backlinks. Every install can split into two payments.
Is there a cheaper way to start before paying for a full build?
Yes, there are two. The 360 Blueprint Session is $497, and the full amount credits toward any install you book within 30 days. Before that comes the free system analysis: 30 minutes where we map your business from first call to final invoice and mark the gaps. You keep the map whether you hire us or not, so even the free step leaves you with something you can use.
Is there a contract, and what happens if I cancel?
Yes, you sign an agreement before we build, and we go through every term with you, cancellation included, before you sign it. The pricing itself is simple to read: a one-time install that can split into two payments, then a flat monthly rate for your tier. Every tier also includes the social media scheduler and a 30-day tuning window after launch. If you want the exact terms in front of you first, ask on the free system analysis.
Trust and your callers
Will my customers know they're talking to AI, and will they hate it?
Yes, they'll know, because the agent tells every caller up front that it's an automated assistant. Callers forgive an assistant for being an assistant. What they don't forgive is one pretending to be human. Anyone who wants a person can reach one in one step, and the agent answers only from content you've approved, so it won't make up a price or a policy.
What happens when the AI gets it wrong or can't help a caller?
It hands the call to your team instead of guessing. The agent answers only from content you've approved, so when a question falls outside that, or the call gets complicated, it passes the caller to a person. During the first 30 days after launch we tune the system on your real calls and tighten any answer that missed. A caller is never more than one step from a human.
Will AI replace my receptionist or office staff?
No. It's built to take repetitive follow-up off your team so they can spend the day on clients. The voice agent answers calls and hands anything complex to your people. Workflows chase missing documents and move work through the pipeline, so nobody spends the afternoon sending reminders. At KT Everyday Tax, the system briefs the staff every morning at 7:45, and the team starts the day knowing what needs them.
How do I tell a real AI automation company from a scam?
Ask to see systems they built that are still running in real businesses, and walk away if they can't show you. Ours have been live since 2024 at KT Bradley CPA, KT Everyday Tax and All Aboard ABA. A real firm also maps how your business runs before it sells you anything, and tells you when a tool you pay for isn't earning its keep. Our free system analysis does that in 30 minutes, and you keep the map either way.
Results and getting started
Is AI worth it for a small business, or is it hype?
It's worth it when it fixes a real gap in how your business runs, and it's hype when it's one more tool stacked on top of the mess. That's why we don't stack new AI on top. We rebuild your current setup into one system inside the AI360 CRM, with your pipelines, records, rules and follow-up in one place. Our systems have run in real businesses since 2024, including KT Bradley CPA straight through tax season.
When will I see a return, and how do you measure it?
We don't promise a payback date, because it depends on where your business is leaking today. The free system analysis maps your client journey from first call to final invoice and marks each gap, so you can see what you're fixing before you spend anything. After launch, you measure the system against that map, and you read a morning brief on your own business instead of digging for the numbers.
Can you show me systems you've built that are still running?
Yes. At KT Bradley CPA, the AI360 CRM, a client portal and an AI voice agent run as one system through tax season. At KT Everyday Tax, workflows chase missing documents, move returns through the pipeline and brief the staff every morning at 7:45. All Aboard ABA in Sugar Land, Texas runs parent intake, insurance verification alerts, a voice agent and a physician referral program on one board. We've had systems live in real businesses since 2024.
How long does it take to set up, and how much of my time does it need?
About three weeks to launch, then 30 days of tuning. In week 1 we audit your business and map the client journey with you, and that's the week we need you most. In week 2 we build it inside the AI360 CRM. In week 3 it goes live. For the next 30 days we tune it on real calls. After that it runs, and your part is reading a morning brief.
Is my business ready for AI, and where should I start?
Start by finding where your week leaks, before you buy any AI tool. Our free system analysis takes 30 minutes: we map your business from first call to final invoice, mark the gaps, and you keep the map whether you hire us or not. From there the plan follows the size of your team. Spark is built for solo operators, and Ignite is for teams of 1 to 10 and adds the voice agent.
Lock-in and AI changes
What happens to my system when AI models change?
Your system stays put, and the better model gets swapped in. We build the structure first: your pipelines, records, rules and follow-up inside the AI360 CRM. The AI models are parts inside that structure. When a better one ships, we swap it in, so the upgrade adds to what you already have. You don't start over, and your team doesn't have to learn a new tool every time AI moves forward.
Which AI models do you use?
We pick the model that does each job best right now, and we swap it out when a better one ships. That's the reason we build the structure first. Your pipelines, records and follow-up rules stay put while the AI inside them changes, so you're never tied to one model or one vendor. If you want to know which model runs a given part of your build, ask us and we'll tell you.
If we stop working together, who owns the system and my data?
Your client records are your business's data, and we'll show you how you'd take them with you before you ever sign. Exit terms are part of the agreement we walk you through up front, so you know the answer before you become a client. The map from your free system analysis is yours too, whether you hire us or not.
Who maintains and fixes it after launch?
We do. Every plan includes a 30-day tuning window after launch, where we adjust the system on your real calls and fix whatever doesn't land. After that it runs, and you read a morning brief instead of babysitting software. As better AI models ship, we swap them into the same structure, so keeping your system current never means a rebuild.
Your current tools
Do I have to replace the software I already use?
No. Your tax software, scheduling, payments and calendar stay where they are. The AI360 CRM sits in front of them and runs the client journey: intake, follow-up, document collection and the pipeline. Documents your clients upload land on their record instantly, so nobody digs through email to find them. And if a tool costs you money and does nothing, we'll tell you.
Do I need a new CRM to use AI?
You need one place where your client records, pipelines and follow-up live, and in every AI360 build that place is the AI360 CRM. We rebuild your current setup inside it instead of bolting AI onto what you have. That structure stays. The AI models inside it get swapped for better ones as they ship, while your tax software, payments and calendar keep running behind it.
Can I do this myself with ChatGPT and the subscriptions I already pay for?
You can try, but each new AI tool is one more subscription and one more login that doesn't talk to the rest. That stack is the mess we take apart. We rebuild your setup into one system inside the AI360 CRM, keep the tools that earn their place, and tell you which ones cost money and do nothing. You end up with one place to look each morning instead of a pile of open tabs.
Data and privacy
Where does my client data go, and is it used to train AI?
Your client data lives on your client records inside the AI360 CRM, where your team already works. The agents answer callers only from content you've approved, not from your client files. Which data an AI model sees, and on what terms, depends on the job it's doing in your build. We walk through that job by job on the free system analysis, before you sign anything.
Is your system HIPAA compliant?
The All Aboard ABA build is. That practice in Sugar Land, Texas runs parent intake, insurance verification alerts, a voice agent and a physician referral program on one board. We don't make a blanket HIPAA claim for every build, because it depends on how each business handles health information. If your practice handles it, we scope that on the free system analysis before anything gets built.
Is it safe to put client tax documents into an AI system?
It can be, when documents come in through a client portal instead of email, which is how our CPA builds handle them. Each upload lands on that client's record instantly. KT Bradley CPA runs its client portal, the AI360 CRM and an AI voice agent as one system through tax season, and the agent answers only from approved content. We go over who can see what on the free system analysis.
About AI360 Network
What does AI360 Network do?
AI360 Network rebuilds an owner's current setup into one system inside the AI360 CRM, instead of stacking new AI tools on top of the old mess. The structure, meaning your pipelines, records, rules and follow-up, stays. The AI models inside it get swapped for better ones as they ship, so an upgrade adds to what you have and you don't start over. Swap the AI. Keep the system.

Yes. We're based in Houston and work with clients across the US remotely.
